Job summary/Purpose
The receptionist is the face of Taylor Wimpey Manufacturing and the first person to welcome all visitors, suppliers, colleagues and customers to Taylor Wimpey.
As the role of the Receptionist, you will operate our Teams incoming calls channel ensuring all calls are answered promptly, queries dealt with wherever possible and efficiently directed to the correct person when appropriate. You will also be required to provide administrative support to other internal office staff and directors when required and carry out all administrative duties as requested.
Based in Taylor Wimpey Manufacturing’s reception area the role requires someone with high levels of customer service skills and and ability to work fast under pressure.
Primary Responsibilities
Handle phones and console management
- Answer the phone in a professional and courteous manner as quickly as possible.
- Determine the purpose of callers and forward the call to the appropriate person or department or interact with the caller on behalf of Taylor Wimpey staff.
- Transfer calls as required.
- Take accurate messages from clients wishing to be called back.
- Deliver these messages to the appropriate member of staff.
- To assist the ITC in maintaining the teams phone system
Visitor Liaison
- Welcome on-site visitors.
- Determine the nature of business and announce visitors to the appropriate person or department.
- Keep track of key people’s movements within the building and when they are working away from the office.
- Ensure visitors have the correct PPE depending on what area of the building they will be entering.
Other Duties
- Receive and distribute mail / parcels as they arrive.
- Help other departments as required.
- Managing the meeting room diary.
- Type up standard letters, forms as and when required.
- Ensure all staff log in and out of office using company logging in and out book.
- To maintain staff and site contact details, updating monthly or as required (i.e. staff listings, telephone lists etc).
- To carry out Company H & S and security procedures in logging visitors in an out
- Raising Purchase Orders where necessary
Experience, Qualifications, Technical Requirements
- Ideally receptionist background
- Strong administration experience
- Used to working within a fast paced & pressurised office
- Strong customer focus
- Outlook, Word, Excel literate
